Community Managers

This position contributes to the management of associations by managing the day-to-day operations in accordance with Rossmar & Graham's policies for carrying out the mandates of each Association's Board of Directors.

  • Oversee service contracts for goods and services
  • Be familiar with association financial statements and delinquencies
  • Assist bookkeeping with information which will assist in collection of funds
  • Assist Board and committees with financial planning
  • Be familiar with CC&R's and plat maps for associations
  • Make weekly inspections of common areas and ensure all maintenance standard requirements are met
  • Order emergency repairs on common elements
  • Document pertinent matters such as location of water meters, sprinkler control valves, etc.
  • Ensure effective maintenance and operation of amenities
  • Secure necessary supplies and inventory for timely replacement.

Applicants should have excellent customer service skills, be self-motivated and enjoy working in a fast paced environment. Experience is a plus.

 

Administrative Assistant

This position will be responsible for performing the following duties:

  • Assist 4-5 managers with daily operations of Association business
  • Process mail, e-mail, voice mail and faxes frequently throughout the day;
  • Maintain service logs for maintenance calls; maintain roof leak logs, maintain architectural log and requests
  • Type correspondence and management reports; file; prepare and send mailings, including using a folding machine
  • Prepare for annual meetings including Board binders
  • Set up new account files
  • Maintain and keep Minutes Books up-to-date
  • Handle all homeowner certification requests and PUD forms
  • Accompany community manager to properties to gain a better understanding of property.

 

Accounts Payable Specialist

This position will be responsible for performing the following duties:

  • Data input
  • Print checks and prepare Board packets with checks for signatures
  • Balance verification
  • Prepare account set-up folders for new associations
  • Prepare vendor reports for existing accounts
  • Prepare year-end 1099 process
  • Pack all year-end payables files for audit and tax purposes
  • Bank research
  • Filing and mailing

 

Accounts Receivable Specialist

This position will be responsible for performing the following duties:

  • Make daily adjustments to owners accounts
  • Research payment issues
  • Process homeowner's proof of cancelled checks
  • Process NSF adjustments
  • Trustee sale notations and tracking (daily)
  • Post in-house payments
  • Filing and deposits.

 

Association Accountant

This position requires cash and accrual accounting skills and will be responsible for performing the following duties:

  • Prepare and review community association financial statements, P&L variances, bank reconciliations, bank issues and journal entries.
  • Account transfers
  • Monitor bank account balances
  • Input annual operating budgets
  • Prepare year-end reports
  • Assist Customer Accounting Controller.

 


Collection Analyst

This position will be responsible for performing the following duties:

  • Analyze and interpret information on legal documents
  • Prepare cases for court and attend court as necessary
  • Prepare monthly status reports
  • Respond to homeowners, attorneys, court personnel, Board members and/or fellow employees in a professional manner
  • Attend Board meetings
  • Attend educational seminars to ensure compliance with changes in the law
  • Complete any task requested as necessary to get the job done.

Experience in 90-day plus collections is a must; thorough knowledge of the Fair Debt Collection Laws and legal experience on civil judgments is helpful.
